Shivaay Dance Academy – Policies, Terms & Conditions

By registering for classes at Shivaay Dance Academy, parents and students acknowledge that they have read, understood, and agreed to all academy policies.

Enrollment & Registration

Annual Registration Fee

An annual registration fee is required for all new and returning students unless otherwise stated during a special promotion or Early Bird Registration period.

Free Trial Class

New students are welcome to attend one complimentary trial class.

If a student decides to continue enrollment, the trial class fee will be included in the first tuition payment.

Please note:

• Trial classes do not guarantee placement in a class.

• Enrollment priority is given to fully registered students.

• Classes may reach capacity without notice.

Tuition & Payment Policy

Payment Plans

Shivaay Dance Academy offers the following tuition options:

Quarterly Payment Plan

Quarter 1: September – December

Quarter 2: January – March

Quarter 3: April – June

Tuition is automatically processed at the beginning of each quarter.

Full-Year Plan

Families may choose to pay for the entire dance season from September through June at the time of enrollment.

Auto Billing

By enrolling, families authorize Shivaay Dance Academy to automatically process tuition payments according to the selected payment plan.

Non-Refundable Policy

All tuition payments, registration fees, costume fees, event fees, competition fees, ticket purchases, and workshop fees are non-refundable and non-transferable.

No refunds, credits, freezes, or tuition holds will be provided for:

• Missed classes

• Vacations

• Schedule conflicts

• Moving

• Weather-related closures

• Withdrawal after payment has been processed

Exceptions may only be considered in the event of a documented long-term medical injury.

Withdrawal Policy

Quarterly Payment Plans

To withdraw from the January–March quarter, written notice must be received by December 1.

To withdraw from the April–June quarter, written notice must be received by March 1.

Full-Year Plan

Students enrolled under the Full-Year Plan are committed to the entire dance season and are not eligible for refunds, cancellations, freezes, or credits once payment has been processed.

Notice Requirements

All withdrawal requests must be submitted via email to:

register@shivaaydanceacademy.com

Verbal notice to instructors, assistants, or staff members will not be accepted.

Failure to provide written notice before the applicable deadline will result in the next scheduled tuition payment being processed.

Attendance & Make-Up Classes

Regular attendance is strongly encouraged to ensure student progress and performance readiness.

Student Absences

Missed classes are not eligible for refunds, credits, or make-up classes.

Instructors will make reasonable efforts to help students learn missed choreography.

Academy Cancellations

If a class is canceled by Shivaay Dance Academy, a make-up class or alternate instructional arrangement may be provided.

Students may also be permitted to attend a class at another Shivaay location when available.

Parent Observation Policy

To maintain a focused learning environment:

• Parents are not permitted inside the classroom during regular instruction.

• Parents may be invited into class during designated observation periods or the final few minutes of class at the instructor’s discretion.

Costumes, Events & Performances

Students may have opportunities to participate in:

• Shivaay WinterFest

• Annual Recital

• Community Performances

• Cultural Festivals

• Competitions

• Celebrity Events

• Special Workshops & Masterclasses

Participation Fees

Certain performances and events may require participation fees, costume fees, or ticket purchases.

Costumes & Props

Costumes, jewelry, and props may be provided by Shivaay Dance Academy for certain events.

Items provided by the academy must be returned by the designated deadline.

Late returns may result in replacement or cleaning fees.

Performance Placement

Performance participation and group placement are determined solely by instructors and academy management.

Student Conduct

Students are expected to:

• Arrive on time

• Demonstrate respect toward instructors and classmates

• Follow academy rules and safety guidelines

• Maintain positive sportsmanship and behavior

Shivaay Dance Academy reserves the right to remove any student whose behavior disrupts the learning environment.

Injury Waiver & Assumption of Risk

Dance and physical activity involve inherent risks.

By participating in classes, rehearsals, performances, competitions, workshops, and academy events, students and parents voluntarily assume all associated risks.

Shivaay Dance Academy, its instructors, staff, and affiliates shall not be held responsible for injuries, accidents, loss, or damage occurring during participation in academy activities.

Photo & Video Release

Photographs and videos may be taken during classes, rehearsals, performances, competitions, and academy events.

These materials may be used for:

• Social Media

• Academy Website

• Marketing Materials

• Promotional Campaigns

Families who do not wish to appear in promotional materials must notify the academy in writing.

Policy Updates

Shivaay Dance Academy reserves the right to update policies, tuition rates, schedules, programs, and procedures at any time.

Updated policies will be communicated through the academy website, email communications, or the student portal.
